Project Tracking Setting Up Projects

Overview

This section discusses three main areas of setting up projects in e5 PT:

Project Codes

Use the Project screen MKCB to define the relationships between the project and the sub-projects. The project code is defined into a maximum of four segments consisting of one project and up to three sub-projects, which comprises the full project code. The data entry programs use the full project code to create balances and transactions. Use the Project screen to define the project segment, which is always the first segment of the full project code and contains the controls for the project, such as currency and capitalisation rules.

This relationship is similar to the relationship between the GL nominal and the GL management codes. For example, you define which GL management code segments to use for each GL nominal on the Primary Details format of the Nominal screen MEBB.

Sub-Projects

The system can post according to the sub-project relationships defined on the Project screen MKCB, to a maximum of four segments, which is the full project code. Also, the system can post to a project with no sub-projects. Each project can use the full code or the project in conjunction with successive segments of the code. The positioning of the segment in the code determines the hierarchical relationship between projects and sub-projects. However, the system can only post to a project and its immediate sub-projects. The following example shows this relationship:

The indicator defines the relationship between projects (PR1, PR2, PR3 and PR4) and sub-projects (B, C and D). If the field is set, that sub-project code segment is used as part of the full project code. Otherwise, a blank indicates that the field is not in use.

Therefore, following this example:

A set of sub-project dates can be recorded and maintained against the sub-project.

These dates record the sub-project start and completion and are held for memorandum purposes only. They include:

Use the Sub-Project screen MKCE to define which segment of the full project code is assigned a sub-project.

Full Project

Use the Full Project screen MKCG to define the combinations of projects and subprojects that make up the full project code. Budget and actual data is only recorded at the full project level, hence you must define at least one full project code before you can record data in e5 PT. Note that if you are using approval, then e5 PT controls validation ensures that you define a default full project against which budget figures are recorded.
