This function allows the user
A user defined code up to two characters representing the Payment Modes in use at the organisation.
A user defined description of the Payment Mode, up to 40 characters.
The payment medium determines whether the payment mode will be manual or electronic banking. This flag is also used to build the reconciliation code for each of the receipt payment lines. The options available are:
The BDL summary flag will be used to determine whether receipt information for this payment mode is summarised on the BDL Summary report or not. Thus where the BDL Summary flag is set, the information for the payment mode will be summarised on the BDL Summary report (that is, one line will be printed for the total value receipted for the payment mode).
The allocation ranking number is to allow the client to determine the order in which the one or more payment modes are allocated to the invoice(s) &/or cash sale items that are being paid. The way this is intended to work is that each payment mode may be given an allocation number. As part of the update process at data entry time, the system will use any payment mode with an allocation ranking (in ascending order) first in the allocation of a payment mode across the receipt detail line records. Where no payment modes have been given an allocation ranking then the system will allocate the payment modes across the receipt detail lines based on the order the payment modes have been entered at data entry time.
Select this flag if the payment mode is a cash payment mode, otherwise leave blank.
Select this flag if a pseudo bank account is in use, otherwise leave blank.
Determines whether change is allowed to be given for this payment mode:
Blank - Change Allowed.
1-Warning - Change Allowed, a Warning is displayed if change is given.
2-Error - Change Not Allowed.
This indicates the minimum payment value that can be entered when creating a cash receipt payment with this mode. This value is optional and will represent the minimum base value of the payment when entered in all forms of cash receipt data entry. For example; This value could be set to 5.00 if the cost of processing a credit card payment means it would not be covering the costs to the organisation.
This field identifies the reconciliation grouping of the payments during cash-up. This will default to the payment medium if not entered but can be any value between 1 to 8. A mnemonic group CRPAYREC is used to determine the description of this grouping.
All payments with the same reconciliation grouping will be accumulated during cash-up to provide a total that can be used for reconciliation. For example, cheque payments can be given a specific payment mode which in turn can be given a specific grouping thus cumulating all cheque payments into one group.
Data Entry Controls
The data entry validation rules determine whether certain fields on the receipt payment line section of the data entry screens are mandatory, not mandatory or not allowed. These fields have been added to this table to provide users with the flexibility of determining which of these fields are mandatory or not for the different payment modes:
Fee Schedules
A Merchant Fee schedule code may be nominated here. Prompt is available to MMAT / MMAU where Merchant Fee schedules may be set up and maintained.
For certain Payment Modes, for example, Credit Cards the Card Provider may levy a fee on the Merchant.
Fees may be different by bank or organisation and also, possibly the type of bank account money is transferred from / to.
In e5, Merchant Fee functionality will be applied to CR Payment Modes and Cashier Group, with Cashier Group settings over-riding that set at
Payment Mode.
The ability to over-ride at Cashier Group / Payment Mode intersection enables different fees to be calculated by different business units within the same organisation.
The option selected will be used as the validation rule on the payment lines data entry screen.
1 = Mandatory (value must be entered)
2 = Not Mandatory (value may be entered)
3 = Not Allowed (value cannot be entered)
